Terms and Conditions for Booking

We understand that flexibility is crucial during these times. Discover our flexible booking options and cancellation policies, designed to provide you with peace of mind, allowing you to adapt your plans as needed. It is important that you understand these terms when booking and prior to travel.

Trip Cancellations & Credit Redemption 

We closely monitor all our destinations – if you are booked on a trip that we are forced to cancel due to safety or operational reasons, you will be notified as soon as possible via email. In these cases, we will refer to our Force Majeure Booking Conditions

Your Health 

Medical Conditions

Your health and safety are paramount. Some of our itineraries include challenging conditions, including some uneven terrain and a lot of daily steps. You should be in reasonably good health and be able to participate in all activities unaided – this includes getting on and off all transportation. To help you decide which is the right tour for you, we have developed an easy fitness grading system for each of our tours. You can find the fitness grading on the tour page within the Important Information section. Any medical or health conditions that you may have, please ensure you disclose these to us at the time of booking.

Our COVID-19 Policy

In the event of unexpected circumstances, our resources guide you on what to do if you contract COVID-19 while on tour. We are committed to keeping you empowered with the knowledge you need to make informed decisions and to practise basic hygiene to prioritise your health. To learn more, please click here

Altitude Sickness

We have a select range of packages that include treks of travel above 3000 metres and in those conditions it is common for travellers to experience some adverse effects on your health due to the altitude. Before you go & while you're travelling

Travel Alerts

It is your responsibility to ensure that you are aware of current travel restrictions and requirements upon entering a state or territory. For any change in advice to a destination that may have a significant impact to the operation of the tour, we endeavour to keep you informed via an email to the booking owner, as well as maintaining the advice on our Travel Alerts page. 

Passport & Visa Requirements

All Australian citizens require a full passport for all international trips with Inspiring Vacations and this should be valid for at least six months after the date of your scheduled return home date with 2 x blank-facing pages. If you are not an Australian citizen, other regulations may apply, therefore, it's important you check with the nearest embassy of the country you intend to visit.

If you renew your passport after you have booked, it is important you advise us of the new details as soon as possible.

It is your responsibility to investigate the visa requirements of your intended destination and to ensure you have a valid visa and passport. Emergency Procedures

Your safety and satisfaction are our top priorities, and we want you to have the best experience when travelling with us, even if the unexpected may happen. In case of emergency, or if in need of medical attention, your tour leader or local guide is the best person to speak to for immediate assistance. They will guide you on what necessary steps are required to manage your health and safety.

Here are some simple steps you can follow: 

  1. Speak to your tour leader:

    • In case of an emergency or if you need medical assistance, the first step is to reach out to your tour leader. They are there to help and will guide you on the next steps.
  2. Locate the nearest medical facilities:

    • Familiarise yourself with the location of nearby medical facilities such as hospitals or clinics. Your tour leader can provide you with this information.
  3. Carry important documents:

    • Keep important documents, including identification, travel insurance details, and any relevant medical information, in a secure and easily accessible place. It's also handy to keep copies of these documents with your next of kin or emergency contact at home. 
  4. Contact emergency services:

    • If your situation requires immediate attention, don't hesitate to contact local emergency services. Your tour leader can assist you with the local emergency contact numbers or will contact these services on your behalf.
  5. Inform your travel companions:

    • Keep your travel companions informed about your situation, especially if you need assistance. They can provide support and help communicate your needs to the tour leader.
  6. Stay calm and cooperate:

    • During any emergency, it's important to remain calm and cooperate with the instructions provided by your tour leader, local authorities or our team. This ensures a smoother resolution of the situation.
  7. Keep emergency contacts handy:

    • Have a list of emergency contacts, both from your home country and the destination, readily available. Also ensure that Inspiring Vacations have the most up-to-date emergency contact information on file.

Travel Insurance

While it is not mandatory to travel with insurance, Inspiring Vacations strongly encourages that every traveller purchase travel insurance that is appropriate to their individual needs. When travelling, it is important to be prepared for the unexpected and we want to share the peace of mind with you that you will be covered should things not go to plan.

Already purchased travel insurance? 

Great news! If you haven't uploaded your travel insurance information to your account, you can do so by logging in to your account through Traveller Hub. We will ask for the provider name, policy number and your provider's emergency contact number so we have this information on hand when needed. If you have any difficulty in uploading this information, you can email the details to support@inspiringvacations.com.
